Our first priority is to maintain the trust of our clients. Therefore, complying with laws and regulations, we control and utilize personal information obtained from you, our clients, in a correct and appropriate manner.

As HDI Global Japan Branch is specialized in insuring industrial and commercial clients, we do, in principle, not require any personal information in order to conduct our business. However, personal information may be acquired in conjunction with the insurance business.

We will acquire personal information within the scope of necessity for execution of our business in an appropriate and fair manner.

Purpose of use of personal information

The purpose of use of personal information shall be restricted to following instances:

  • Acceptance, maintenance and administration of insurance contracts
  • For payment of insurance money (claims, premium return, etc.) in proper manner
  • In response to public inquiry with appropriate justification
  • In order to maintain our Business Relationship
  • Other business related to insurance business.

Information control

We have been taking the appropriate measures in order to keep your privacy information accurate and up-to-date. In addition, in order to prevent unauthorized access to your privacy information, we have been taking all possible measures.
In addition we ensure that your private information is maintained in a way that guarantees your personal dignity.
We only use the data that you have provided to us, for the purpose we have indicated at that time and for which you have given us your consent.

We will make our staff fully guided and trained, and will continuously endeavor to improve protection of personal information.

Provision of information to third party

Our staffs are sworn to professional secrecy. This means that our staffs are under obligation to keep any information or data obtained during their work strictly confidential.

We will not provide your privacy information to third party except the following cases:

  • Cases you consented to have them used
  • Cases that are based on laws and ordinances
  • Cases that personal information is used jointly among other non-life insurance companies (note), and other necessary cases for prevention of fraudulent or unjustifiable request of insurance contract or payment for insurance money.
  • Cases that are considered to be needed for the benefit of yourself or public interests
  • Cases where provision of personal data are necessary to other insurance companies due to co-insurance/ reinsurance contract.
  • Cases where personal data are used jointly with the companies in the Talanx/HDI group

We utilise the services provided by Marketo EMEA Limited (Cairn House South County Business Park, Leopardstown Road, Dublin 18 Ireland) for the dispatch of Newsletters.

If you order our Newsletter, we save your email address, surname, first name and, if applicable, your form of address. We use this information exclusively to send the Newsletter.

This data processing is always conducted based on the legal basis of your consent in accordance with Art. 6 Section 1 lit. a) Datenschutzgrundverordnung (General Data Protection Regulations). You can cancel the Newsletter at any time using a link contained in each issue. We then delete your data from our email mailing list.

Inasmuch as you have explicitly agreed to the personalised tracking, we will also analyse your user conduct. For this assessment, the emails sent contain so-called web beacons, also known as tracking pixels. Using the data thus obtained, we create a user profile in order to provide our digital services to you in a manner tailored according to your interests. Here we record when you read our emails and which links you click on in them, and draw conclusions from this information regarding your personal interests. We link this data with actions conducted by you on our website. The information thus collected is stored at Marketo on their server within the EU/EEA.
Tracking is not possible if you have deactivated the display of images as a standard measure in your email program. If you have the images shown to you manually, the tracking mentioned above will take place.

Should you have received our Newsletter without registering for it, then we have sent it to you because your interest has been assumed based on existing connections to HDI Global or its subsidiaries. In this way, the mailing takes place on the legal basis of a balancing of interests in accordance with Art. 6 Section 1 lit. f) Datenschutzgrundverordnung (General Data Protection Regulations).

Whatever the case, we record whether newsletters are repeatedly not read within a certain deadline, in order to delete Newsletter addressees from the recipient list once more. We collect this data on the legal basis of a balancing of interests in accordance with Art. 6 Section 1 lit. f) Datenschutzgrundverordnung (General Data Protection Regulations), in order to clean the data.

During the registration process for the Newsletter, the IP address and the date and time of the registration and confirmation are collected in order to be able to prove that you have consented to receive the Newsletter and to prevent any misuse of the services or the email address used. This data processing takes place on the legal basis of a balancing of interests in accordance with Art. 6 Section 1 lit. f) Datenschutzgrundverordnung (General Data Protection Regulations).


Inquiry and request for correction

When we receive the inquiry from you to disclose the privacy information on yourself, we will answer to your request after identifying if the inquiry is made by yourself unless there is special reason. If there is inaccuracy in your privacy information, we will correct it. We will respond sincerely to your inquiry/complaints regarding our handling of personal information.
